Job description

Are you service‑oriented, a strong communicator, and able to keep an overview even in stressful situations? Do you enjoy coordinating office processes and helping people—without letting anything throw you off track? Do you prefer working on-site in an office environment? Then you might be a perfect fit for us.
We are looking for an Office Manager for our Hamburg-Altona location, starting as soon as possible, either in a permanent part-time position (50%) or as a working student (20 hours/week), limited until April 30, 2027.

Your mission

Telephone Reception & Communication

  • You are the first point of contact on the phone, answering calls professionally and forwarding them reliably.
  • You handle smaller inquiries independently and efficiently.
  • For more complex matters, you forward them in a structured way to the responsible teams.
  • You communicate clearly, kindly, and confidently—even in situations that require assertiveness or a calm, authoritative presence.

Travel & Appointment Coordination

  • You support the organization of business trips, including bookings and applying for required documents such as A1 certificates for international travel.

Office & Location Management

  • You handle daily mail processing (incoming and outgoing).
  • You organize and coordinate external service providers, e.g., scheduling appointments with craftsmen.
  • You take on on‑site tasks and ensure the smooth operation of the location.
  • You manage and order office supplies for our German locations.

Process Documentation

  • You document your workflows in a structured manner and keep existing processes up to date, clear, and efficient.
  • You actively contribute to improving work practices and creating transparency.

Your profile

  • You have gained initial professional experience in office management or a comparable role after successfully completing a relevant vocational training program.
  • For the working student position: You are an enrolled student (m/f/d), ideally in business or a similar field, and you are available to work 4 hours per day from Monday to Friday.
  • You have a confident manner on the phone and enjoy interacting with people.
